It is a fair question — and one that most IT providers deliberately avoid answering. This post gives you an honest picture so you can plan and compare properly.

Managed IT Services in South Africa typically cost between R150 and R800 per user per month, depending on the scope of services, the size of your environment, and the level of security included.
That is a wide range. Here is what drives it.
What Affects the Price?
Number of users and devices Pricing is almost always per user or per device. More users means more cost, but the per-user rate often comes down at volume. A business with 10 users pays a higher per-user rate than a business with 80 users.
On-site vs remote-only support Remote-only managed IT — helpdesk, monitoring and patch management delivered remotely — sits at the lower end of the range. If you need regular on-site visits from an engineer, that adds to the cost.
Security stack included Basic managed IT (helpdesk and monitoring) is priced differently to fully managed IT with cybersecurity (EDR endpoint protection, email security, threat monitoring, patch management across servers and endpoints). Security adds cost, but it also provides the protection your cyber insurer and enterprise clients increasingly require.
Server management Businesses with on-premise servers — Windows Server, Active Directory, Hyper-V, SQL Server — need server-level monitoring, patching and maintenance included. This increases the per-user cost.
Level of proactivity A reactive helpdesk that only responds when you call is cheaper than a proactive managed service that monitors your environment continuously, patches systems before vulnerabilities are exploited, and flags issues before they cause downtime. You tend to get what you pay for here.

These ranges reflect the South African market as of mid-2026. Actual pricing varies based on your specific environment, number of servers, locations, and the provider's cost structure.
Remote helpdesk only — R150 to R250 per user per month Issue resolution on request, no proactive monitoring.
Managed IT (basic) — R300 to R500 per user per month Helpdesk, proactive monitoring and patch management.
Managed IT with security — R500 to R700 per user per month All of the above plus EDR endpoint protection, email security and vulnerability scanning.

What Should Be Included at Minimum?
When comparing providers, make sure your managed IT contract includes at minimum:
- A defined response time commitment — not just "best effort"
- Patch management covering Windows, third-party applications and firmware
- Proactive monitoring with alerting
- Backup monitoring — verification that backups are actually completing successfully
- A dedicated contact who knows your environment, not a rotating call centre
If any of these are absent, you are looking at a support arrangement, not a managed service.
What Is Usually Not Included?
Hardware procurement, software licences, and out-of-scope project work — migrations, new infrastructure rollouts, major deployments — are typically quoted separately. Ask your provider to be explicit about what is and is not in scope. The cheapest per-user rate often excludes things you will end up paying for individually.
Is Managed IT Worth It?
For most South African businesses, yes — but with an important caveat: you get out what you put in.
The value of managed IT is not avoiding the monthly fee. It is avoiding the cost of downtime (typically R50,000 or more per hour for an SME when lost productivity, missed revenue and recovery time are factored in), avoiding a ransomware incident that can cost R500,000 or more to recover from, and avoiding POPIA liability caused by unpatched systems or misconfigured security.
A well-run managed IT service pays for itself in incidents prevented. The question is not whether managed IT costs money — it is whether the alternative costs more.
