Is monitoring employees lawful in South Africa?

That is not a question we can answer for you, and you should be cautious of any IT provider who says otherwise. POPIA applies to the personal information involved, and labour law and your own employment policies apply to how it is used. Those need advice from your legal or HR advisors. What we require before deploying anything is documented authority from you and a legitimate business purpose — that is our standard, not legal guidance.

Do we have to tell our staff?

Our standard is that monitoring is communicated to the people affected, unless you have documented a lawful reason and the authority not to. In practice, businesses that explain the purpose openly get far better outcomes than those that don't — both in staff trust and in the quality of what the data tells them.

What does it actually measure?

Application and website use, active and idle patterns, and productivity indicators, grouped and reported against the objective you defined at the outset — whether that is productivity, security, wellbeing, compliance or operational insight. What is in scope is agreed and documented before deployment, not left to default settings.

Can we use this to discipline someone?

Anything with consequences for a person needs human review and business context, not a metric on its own. Activity data can tell you something looks unusual; it cannot tell you why, and it is frequently wrong about intent. If you are heading towards a disciplinary process, that is a conversation for your HR and legal advisors, and the data should support their process rather than replace it.

Does this capture what people type or say?

We do not put message content, passwords or unrelated sensitive information into reports. Workforce analytics is treated as sensitive personal and employment-related information, with access limited to the authorised management, HR, security or operational roles you nominate.

What happens to the data if we stop using it?

There is a defined offboarding and deletion process at the end of the service. Retention is agreed up front rather than left to accumulate — holding this kind of data longer than the purpose requires creates risk without adding value.
